For Clinics Closing or Transitioning Out of Therabyte
We’re sorry to see you go! To ensure a smooth transition, please follow this offboarding checklist:
1. Confirm Your Cancellation
Notify us of your cancellation via support@therabyte.com.
Billing Reminder:
Cancellation takes effect at the end of your current billing period to avoid disruption during your paid term.
Example: If your billing cycle is on the 15th of each month and you notify us on the 2nd, your subscription remains active until the 14th.
2. Choose How to Manage Your Data
You have several options for preserving or exporting the client data stored in your Therabyte account:
A. Move to a Storage Account – $5/month
We will retain your clinic’s data in read-only mode for as long as needed.
You’ll still have secure access to your records without maintaining a full subscription.
B. Download Your Data Yourself
If you prefer to download your data directly, let us know. We’ll enable the necessary settings for you to export:

C. Request a PDF Data Bundle
If you need a PDF export (for migration to another EMR or your own records), contact us to schedule your export. We will require a Microsoft email address to securely share the file.
The PDF bundle will include:
Clinic Files (Images, Misc Files)
Client notes (Merged/Combined Notes)
Let us know the date you need the export completed so we can prepare it in advance.
D. Download Financial Data
You can generate a Raw Data Report to capture invoices and billing data in a customizable format.

3. Final Checks Before Closing
✔ Confirm that all the data you need has been exported or stored
✔ Confirm billing account closure or transition to storage
✔ Download any additional resources or documents needed for record-keeping
