When Does a Note Get Locked?
A note locks automatically 24 hours after it is signed.
- Until it is signed, the note remains editable.
- Once signed, a 24-hour countdown begins.
- After this period, the note becomes locked to preserve documentation integrity.
Who Can Edit a Note After It’s Locked?
Only specific roles can edit a locked note:
Role | Can Edit Locked Notes? | Conditions |

Practitioner | ❌ No | Locked notes are not editable by practitioners. |
Office Admin | ✅ Yes | Only if they do not also have the Practitioner role. |
Owner | ✅ Yes | Only if they have the Office Admin role and do not have the Practitioner role. |
IMPORTANT: If a user has both the Office Admin and Practitioner roles, they cannot edit locked notes. The Practitioner role overrides editing permissions after the lock period.
