When Does a Note Get Locked?

A note locks automatically 24 hours after it is signed.

  • Until it is signed, the note remains editable.
  • Once signed, a 24-hour countdown begins.
  • After this period, the note becomes locked to preserve documentation integrity.

Who Can Edit a Note After It’s Locked?

Only specific roles can edit a locked note:

RoleCan Edit Locked Notes?Conditions
Practitioner❌ NoLocked notes are not editable by practitioners.
Office Admin✅ YesOnly if they do not also have the Practitioner role.
Owner✅ YesOnly if they have the Office Admin role and do not have the Practitioner role.

IMPORTANT: If a user has both the Office Admin and Practitioner roles, they cannot edit locked notes. The Practitioner role overrides editing permissions after the lock period.

Why Is This Important?

This locking system ensures:

  • Timely completion of clinical documentation.
  • Protection against unauthorized changes.
  • Administrative flexibility for corrections or updates when necessary.
