You can create a non-billable session event in several ways: 

  1. During the outcome stage of scheduling, simply mark the attendance as non-billable. 
  2. Choose a service that is designated as non-billable. 
  3. Visit the notes tab and create a non-billable session note. (Refer to the article link provided above: Creating non-billable notes)

 

 

Marking Attendance as non-billable 

 

Note: When multiple practitioners are working simultaneously with a client, each practitioner must create a separate event as one practitioner’s event may be regarded as non-billable while another may be billable. 

 

  1. 1. To access the Scheduler page, click the Scheduler tab in the My Office section at the top left corner of the screen. 

 

 

 

 

  1. 2. To select a client event from the scheduler, simply click on the desired event within the Scheduler interface 

 

 

 

 

 

  1. 3. Next, proceed to select the Outcome stage of the session event.

  1. 4. Take note of the Attendance Section on the Outcome stage. This is where practitioners mark the attendance of their clients.

  1. 5. To mark a client’s attendance as non-billable, simply click on the non-billable icon button located in the attendance section.

  1. 6. If some clinicians consider their event as billable, click the billable icon button. 

Note: Clicking the button indicates that the client attended the session.

  1. 7. Once you have finished marking the client’s attendance, click either the Sign icon or the Save Check button located at the top to save and close the session event.

Use a service that is non-billable 

 

 

  1. 1. To verify if a service is non-billable, you can navigate to the Service page and select the Service tab within the Practice Setup section located at the top left corner.

Note: You can also identify non-billable services by checking the service dropdown menu for those tagged as non-billable. To create a service that is non-billable, please refer to the article on Create a non-billable service.

  1. 2. Once you have created a non-billable service, proceed to the Scheduler page by selecting the Scheduler tab in My Office menu in the top left corner.

  1. 3. To create a session event, you have two options: 
     

  1. a. Click an area on the desired date and time in the Scheduler. 

  1. b. Click the New Event button located at the top left of the scheduler page. 

 

 

  1. 4. The scheduler modal will appear, enabling you to select the following options from the event stage: 

 

  1. a. Session Type 

  1. b. Service Type 

  1. c. Client(s) 

  1. d. Provider(s) 
     

 

 

 

  1. 5. To select a non-billable service, simply click on the Service dropdown menu and choose the option tagged as non-billable.

6. After creating the non-billable session event with a non-billable service, proceed by selecting the client’s name, the service provider, and then click the Save Check button to save and close the event.
