1. Click on the Clients tab under My Office, and from the client list, select the client you want to grant access to the Client Portal.



2. New clients receive a welcome email during the setup process when their email address is registered with their account. For existing clients, you can manually send a welcome email from the client chart modal.




Note: You can adjust the token validity in by navigating to Clinic Setup > Settings > General. Options include 24 hours, 36 hours, 48 hours (default), or 1 week.


3. Enable Online Access and notifications

If a client is an adult, notifications and online access will be manually enabled on their profile.

  1. Click Edit Profile in the Client Chart Modal.


    b. Scroll down to find the Clinic Settings section. Select "Enable Online Portal Access" to grant them access to     their client profile. Additionally, check "Enable Email Notifications" if you want them to receive email updates. Then     click Save. Your adult client now has access to the Client Portal.


If the client is a minor, navigate to the People tab and select the primary contact to receive online access and email notifications.



4. Enable notifications and online access for the guardian. This can be enabled for more than one guardian.




Troubleshooting

    

    Question - What if my client doesn't get the email? 

  • Have them check their junk/spam folder.
  • Ensure that email notifications and online access are enabled.
  • Confirm the email address is correct.
  • Manually resend the email from the client chart modal.


    Question - My client still didn't get the email? What do I do now?

  • You can manually set your client's password by going to My Office and selecting Clinic Users. Then, direct them to your website to log in. Ask them to bookmark your website: https://yourpractice.therabyte.app.

  • Search for the client or guardian whose password you want to set. Click the Account tab and set their new password. Remember to click Save after.

  • Let them log in using the email they have registered in Therabyte, and instruct them to use the new password you've set.


    Question - My client can log in, but can't access the video session. 

To ensure the security of your client's information, you must manually enable consent for each primary contact to access the portal. 


        For a minor - Navigate to the client's chart, click on the People tab, select the primary contact, and enable both consent and online access. Remember to click save after.



            For adult client, click Edit Profile in the Client Chart ModalScroll down to find the Clinic Settings section. Select "Enable Online Portal Access" to grant them access to their client profile. Additionally, check "Enable Email Notifications" if you want them to receive email updates. Then click Save

 

Question - My client has received the welcome email but they are not able to complete the login process and set up a password.

1. Check that they are using Chrome for their internet browser. If not, have them download it.

2. Have them follow the steps below to reset their own password:


a. Visit the URL of the practitioner (ex: www.yourpractice.therabyte.app) and choose Login.

 

b. Enter your email address and then select forgot password.

c. Click send password reset link.

 

4. Check your email and choose Reset Password.5. You will be redirected back to the login page.

6. Enter your email again and set a new password.

7. Enter your details again to log in.
