Setting Up Client Portal Access
Enabling Online Access and Notifications
- Click on the Clients tab under My Office and select the client from the list.
For Adult Clients:
- Click Edit Profile in the Client Chart Modal.
- Scroll to the Clinic Settings section. Choose Enable Online Portal Access and Enable Email Notifications, adjusting these settings based on your preference. Click Save to save the changes.
For Minors and Adult Clients with Guardian:
- In the client modal, navigate to the People tab.
- Select the primary contact/s to receive online access and email notifications. Scroll to the Contact Settings section. Choose Enable Online Portal Access and Enable Email Notifications, adjusting these settings based on your preference. Click Save to save the changes.
Sending Welcome Email
For new clients, the options to enable the client portal and email notifications are set to enabled by default. Feel free to adjust these settings based on your preference. Additionally, you can manually send or resend the welcome email from the client chart modal.
- In the client chart modal, click Welcome Email button.
- Choose the recipient for the welcome email and click Send Email(s).
Note: Adjust the token validity by navigating to Clinic Setup > Settings > General. Options include 24 hours, 36 hours, 48 hours (default), or 1 week.
Troubleshooting:
Client Didn't Receive the Email:
- Check the junk/spam folder.
- Ensure email notifications and online access are enabled.
- Confirm the email address is correct.
- Manually resend the email from the client chart modal.
Client Still Didn't Receive the Email:
- Manually set the client's password by going to My Office > Clinic Users.
- Search for the client or guardian, click the Account tab, set their new password, and click Save.
- Direct them to your website to log in and bookmark it: https://yourpractice.therabyte.app.
- Instruct them to log in using the registered email and new password.
Client Can Log In but Can't Access the Video Session:
- Manually enable consent for each primary contact to access the portal.
- For minors:
- Navigate to the client's chart, click on the People tab, select the primary contact, and enable both consent and online access. Click Save.
- Navigate to the client's chart, click on the People tab, select the primary contact, and enable both consent and online access. Click Save.
- For adults:
- Click Edit Profile in the Client Chart Modal.
- Scroll to the Client Settings section.
- Select Enable Online Portal Access and Enable Email Notifications. Click Save.
- For minors:
Client Received Welcome Email but Can't Complete Login:
- Ensure they are using Google Chrome/Microsoft Edge. If not, have them download it.
- Steps to reset their password:
- Visit the practitioner's URL (e.g., www.yourpractice.therabyte.app) and choose Login.
- Enter the email address and select Forgot Password.
- Click Send Password Reset Link.
- Check the email and choose Reset Password.
- You will be redirected back to the login page.
- Enter the email again and set a new password.
- Log in with the new password.
- Visit the practitioner's URL (e.g., www.yourpractice.therabyte.app) and choose Login.
